Privacy Policy

What we collect

• Inquiry and estimate details. When you submit an inquiry or a rental estimate we receive the name, email, phone, company, event date, budget range, and message you provide, along with the items on your estimate.
• Reference files. If you attach inspiration images or PDFs to an inquiry, they are uploaded to our hosting provider's file storage so they can be attached to the email we receive, then removed from that storage once the message has been sent.
• Assistant conversations. Messages you type into the on-site assistant, described in its own section below.
• Aggregate traffic data. We use Cloudflare Web Analytics, which is cookieless and does not follow you across other sites. It tells us which pages get viewed, not who viewed them.

We do not take payment on this site, so we never collect card or bank details. We do not sell, rent, or trade your information.

The on-site assistant

The chat assistant is powered by an AI model from Anthropic. When you send it a message, that message and the earlier turns of the same conversation are transmitted to Anthropic's API so a reply can be generated. Anthropic processes it as our service provider under its own terms.

Treat the assistant as a public-facing sales conversation, not a private channel. Please do not type anything into it you would not put in a first email to a vendor: no payment details, no government identifiers, no confidential third-party information. If the conversation turns into a real inquiry, the details you provide are emailed to us the same way the inquiry form works.

The assistant can be wrong. Pricing, availability, and specifications it quotes are indicative only and are not an offer. Nothing it says is binding until we confirm it in writing.

Who else handles it

• Anthropic, for generating assistant replies.
• Resend, which delivers the inquiry email to us and the confirmation email to you.
• Our hosting provider, which serves the site and temporarily stores any reference files you upload.
• A lead-routing tool, where enabled, which receives a copy of new inquiries so they can be tracked and followed up.

Each processes your information only to provide its service to us, under its own privacy terms.

Where it lives, and deleting it

We do not run a customer database on this site. Once submitted, your inquiry lives in our email inbox and, where enabled, in the lead-routing tool. We keep it as long as needed to quote and complete the work, and afterwards for our own business records.

You can ask us to delete what we hold about you at any time. Email hello@kalaeventsupply.com from the address you contacted us with. Requests are handled by hand, so allow up to 30 days, and we will confirm once it is done. We may need to keep records connected to a completed job where the law requires it.

Children

This site is intended for adults planning events. We do not knowingly collect personal information from children under 13.

Changes

If this policy changes, the updated version is posted here with a new date above.
